An institution may need to deal with a member of the academic staff who writes a publication in the context of his/her employment. The institution will then need to deal with the following issues:
- Who holds the copyright in the publication? Is it the institution or the author?
- How can the institution make arrangements for use of the publication?
- How can the institution ensure that material of its own finds its way into its repository?
- What arrangements need to be made to include a publication in the institution’s repository?
The publication concerned may be:
- a scientific/scholarly article produced by an employee of the institution or on its behalf; or
- a dissertation produced in the context of someone’s doctorate.
SURF has developed the following practical tools to help make these arrangements:
A toolkit for institutions to encourage PhD candidates to have their dissertation included in the repository.
Other useful tools:
- Overview of PhD regulations
This document lists the institutions that have a set of PhD regulations, with the provisions contained in those regulations.
- “Notice and Takedown” procedure
This is a useful overview for institutions that already have a repository or that want to create one; it helps them establish a procedure for dealing with complaints.
